Privacy Policy

International Press-in Association (“IPA”) acquires and uses information of IPA’s customers (including IPA members and visitors to the IPA website) such as name, address, phone number and email address in order to ensure smooth operation of its business. Recognizing that protecting personal information of these customers (“Personal Information”) in an appropriate fashion is an important responsibility, IPA handles Personal Information in accordance with the policy set forth below to fulfill this responsibility.

 
1. Handling of Personal Information on this Website

(1) IPA appoints a person in charge of protecting Personal Information and strives to appropriately manage Personal Information.

(2) IPA will acquire, use and provide Personal Information within the scope of the following purposes of use on the basis of consent of the customers who provide their Personal Information. Customers may withdraw their consent at any time.

(i) To verify identity, examine membership qualifications, update membership information and send notices of the IPA General Assembly in the operation of IPA's membership system, and to perform other administrative work related to the operation of IPA's membership system;
(ii) To manage participants in events hosted by IPA, send notices of the events, collect fees for them, communicate with the participants, and perform other administrative work related to the operation of the events;
(iii) To handle Personal Information in the editing and publishing of information magazines and other publications issued by IPA and send publications and other information and communications;
(iv) To perform the agreement concluded between the customer or the group which the customer belongs to and IPA;
(v) To collect and release technical information, research reports and other information;
(vi) To form, maintain and develop IPA’s international networks;
(vii) To respond to inquiries received by IPA;
(viii) To perform activities incidental to any of the foregoing purposes; and
(ix) To perform its obligations under applicable law.

(3) IPA will not provide or disclose Personal Information to any third party without prior consent of the customer concerned. However, in the following circumstances, IPA may provide Personal Information to a third party without the consent of the customer.

(i) When such disclosure is required by law;
(ii) When such disclosure is necessary in order to protect the life, physical integrity or property of a person and it is difficult to obtain the consent of the individual who has provided his/her Personal Information; or
(iii) When such disclosure is made in accordance with administrative guidance or instruction.
(iv) When the handling of Personal Information is outsourced to the extent necessary to achieve the purposes of use.

(4) IPA recognizes that customers have the right to request the disclosure, correction, suspension of use, and deletion of their own Personal Information. Upon receipt of such request, IPA will respond to it as promptly as reasonably possible. Customers may contact the contact point specified below to make such request, which will be properly handled.

(5) IPA will securely manage Personal Information and strive to ensure, enhance and improve the security, in order to prevent unauthorized access to, loss, destruction, alteration, or leakage of Personal Information.

(6) IPA will comply with applicable laws and regulations and other standards, and continuously improve and enhance our efforts to protect Personal Information according to the changing environment.

2. Credit Card Information

IPA will acquire customers' credit card information for the following purposes when they purchase publications or pay annual membership fees or event participation fees.

(i) To accept payment by credit card;
(ii) To perform other activities incidental to the foregoing purpose.
Information on credit card payments and credit cards will be directly acquired and managed by the outsourced payment service provider, and not by IPA. IPA will not hold customers' credit card information. Payment processing and security protection for such processing will be handled by the outsourced payment service provider.

2-2 Other Customer Information
To detect and prevent fraudulent use of credit cards in customers' payment by credit card, Personal Information acquired by IPA from customers such as name, address, phone number and email address may be provided to the companies issuing the cards used by customers through the outsourced payment service provider.
If the companies issuing the cards used by customers are located outside Japan, such information may be transferred to the countries where such issuing companies belong. Since it is impossible to specify the card issuing companies or the countries where they are located from information acquired from customers, IPA is unable to acquire and provide the following information regarding personal information protection measures.

- Names of the foreign countries where the card issuing companies are located;
- Information on the personal information protection systems of such countries; and
- Measures for personal information protection taken by the card issuing companies.

The Personal Information Protection Commission’s website (https://www.ppc.go.jp/en/index.html) provides information on the personal information protection systems of other countries. Customers who are minors must use the services provided by IPA with the consent of their parents or guardians.

3. Changes to Privacy Policy

This Privacy Policy is subject to change without notice to respond to changes in law or for other reasons. Personal Information collected by IPA is always governed by the latest Privacy Policy. Any such changes will be posted on the IPA website and will take effect on the date of posting.
